Council Venue Hire and Bond Receipt

The Cultural Venues and Community Hubs Department (previously known as Civic and Community Facilities) has moved to a new system called Bookable.

How to pay for a venue hired with Council

Pay via the Bookable Portal

Customers can make payments through the Bookable Customer Portal (the same portal used when booking an appointment). The available payment methods are:

  • Credit Card – Pay securely through the Customer Portal.
  • BPAY
  • Cash is not accepted.

Note: Customer Service currently does not have access to the Bookable system.

Pay at Council

We can only proceed with taking payment if the customer provides their Booking ID number.

If the customer does not have their Booking ID:

  • Call Civic & Community Facilities to retrieve the ID.
  • If you are unable to reach them, try contacting Lammy directly.
  • If neither option is successful, kindly inform the customer that we are unable to process the payment without the Booking ID.

Advise them to pay online through the Bookable Portal they used to make the booking, or they can return once they have the Booking ID number.

If they have the ID Number, proceed to payment process below

Phone and Counter receipting

CSO:

  • Receipt to General Ledger - Bookable Receipts CS (Payment Methods)
  • Receipt Payer Name: Name of the cardholder, cheque drawer or the person providing the cash.  
  • NOTE: If the venue hirer is different from the person making the payment, record the payer's name c/o the hirer's name.
  • Enter the Booking ID number in the notes field
  • Issue a receipt to the customer

Refund of Bond

All bond monies are refunded by The Cultural Venues and Community Hubs Department (previously known as Civic and Community Facilities) by electronic funds transfer.

CSO:

  • Transfer to Civic and Community Facilities, if busy or no answer email with details below to bookings@cgd.vic.gov.au
    • Customers full name
    • Contact number and email address
    • Reason for call back
