Request Copy of Rates Notices and Transaction Listing Enquiries

CSO:

  1. Go to P & R > property enquiry

  • Verify if the property is owned by:

    An individual
    or
    Non-individual (e.g, business, trust, etc)

Fees:

  • There is no charge for notices from the current year. Notices from previous years are $11.80 per notice, per year requested.

Properties owned by individuals

 Step 1: Verify Property Ownership:

  • Confirm if the person making the request is listed as the current owner of the property.

  • Ask which year they need the notice for, the current year’s notice or a past one. If it’s for a past year, check if they were the owner during that financial year before proceeding.

Yes, they are the owner:

  • Go to the counter or phone process

No, they are not the owner

  • Go to the "Request for Rates Notice by someone other than the property owner below"

Counter process

Step 2: Verify ownership, check their driver's licence:

  • The name and address on the licence matches the property owner on our record

Step 3: If verified, provide the notices​​​​​​

  • Options: Email or Mail

Step 4:

  • If they do not have a licence or do not match the owner's details on our records, follow the phone process of verification.

How to print the notice via Lane Print (current year and previous years, dating back to 2020)

How to print a current notice from P & R (current year only, with updated charges)

  1. Generate statements via Property and Rating instructions 
    CHECK OWNERS DETAILS ON THE NOTICE MATCHES YOUR REQUEST.
  2. For printed statements: Use the designated Rate Statement stationery.
    For emailed statements: First, scan and email the statement to yourself. Once received, forward it to the customer, using the appropriate template in Outlook

    Phone process

    Step 2: Verify Ownership

    • In the P & R property record, does the customer name match the owner on our records for that property?

    Step 3: If yes, ask the customer to verify at least ONE of the following:

    • The default mailing address for the property.
    • The last payment amount made to Rates.
    • Email address or phone number listed under Names ID associations (if available).

    Step 4: If they got one right, they have been verified. Print and provide the notice 

    • Options: Email or Mail

    Step 4: If you could not verify them as the owner with the questions above

    • Politely explain that you were unable to verify them. You can advise them that you can print a notice and mail it to the mailing address we have on our system.

    How to print from P & R (current year only with updated charges)

    Request for Rates Notice by someone other than the property owner

      Request from:

      Estate/managing agent/body corporate

      CSO:

      Advise the customer that they will need to email their request to council@cgd.vic.gov.au and include either:

      • A signed letter from the property owner
      • The letter must clearly state that the representative is permitted to obtain a copy of the Rates on the owner’s behalf.
      • It must specify the financial year(s) for which the Rate Notices are being requested.

      or 

      • A lease agreement
        • The agreement must clearly state that the agent is permitted to obtain a copy of the Rates on the owner’s behalf.
        • It must specify the financial year(s) for which the Rate Notices are being requested.
        • The lease must be valid for and cover the entire financial year(s) for which the Rate Notices are being requested.

      Once received, the Rates Team will process the request within 3 to 5 business days.


      Executor of Will or Holder of a Power of Attorney requests notice

       

      CSO:

      • Advise the customer that they need to email their request to council@cgd.vic.gov.au and include any relevant documentation e.g, The Will, POA documents
      • They must also specify which financial year(s) the Rate Notices are being requested.

      Once received, the Rates Team will process the request within 3 to 5 business days.

      Once received, the Rates Team will process the request within 3 to 5 business days.

      Customer Service cannot access notices dated before 2020 - What can we do?

      Customer Service isn't able to access notices dated before 2020 from Lane Print or P & R

      CSO:

      Advise the customer that you will email the request to our Property Revenue assist with this request.

      Then:

      • Email propertyrevenueadmin@cgd.vic.gov.au using the phone template.
      • Must also specify which financial year(s) the Rate Notices are being requested.
      • Do not take payment, Rates will resolve that issue with the customer

      Once received, the Rates Team will process the request within 3 to 5 business days.

      Properties owned by Non -Individual (Businesses,Trusts etc)

      Customer Service staff are not able to provide copies of Rate Notices for properties owned by non-individual entities such as businesses, trusts, or companies.

      Even if someone identifies themselves as the owner, director, or accountant, their authority must first be verified by the Rates Team before any information can be released.

       

      Managing Agents or Representatives of the Property Owner

      Verification is conducted by the Rates Team before issuing copies of notices

      CSO:

      Advise the customer that they will need to email their request to council@cgd.vic.gov.au and include either:

      • A signed letter from the property owner

        • The letter must clearly state that the representative is permitted to obtain a copy of the Rates on the owner’s behalf.

        • It must specify the financial year(s) for which the Rate Notices are being requested.

      or 

      • A lease agreement
        • The agreement must clearly state that the agent is permitted to obtain a copy of the Rates on the owner’s behalf.
        • It must specify the financial year(s) for which the Rate Notices are being requested.
        • The lease must be valid for and cover the entire financial year(s) for which the Rate Notices are being requested.

      Once received, the Rates Team will process the request within 3 to 5 business days.

      Business owner or Director of the business

      Verification is conducted by the Rates Team before issuing copies of notices

      CSO:

      Advise them to email their request to council@cgd.vic.gov.au, including the following details:

      • Documentation confirming they are the director or owner of the business
      • The email must also specify which financial year(s) the Rate Notices are being requested.

      Once received, the Rates Team will process the request within 3 to 5 business days.

      Financial Statement/Rate Book, list of payments/transactions for Rates

      What is a Rate Book (term used for Statement when the request is for previous financial years) 

      An updated statement with additional transactions like arrears amount or additional charges if applicable.
      If they are disputing payments they made to their Rates etc. 

      The owner of the property

      CSO:

      Email propertyrevenueadmin@cgd.vic.gov.au with the following details:

      • Property address
      • Property number
      • Owner's name, contact numbers, and email address 
      • How do they wish to receive the information, by post or email? These are the only 2 options.


      The Rates Team will process the request within 3 to 5 business days.

      Someone other than the owner

      CSO:

      Advise the customer to put their request in writing. They will need to attach any documents related to them seeking the information, as they are not the owner.

      E.g Lease documents, letter from the owner or Power of Attorney
