What to do with items and deliveries at centres?

Dandenong Customer Service Centre

The courier delivers an item

  1. Before accepting the item, verify if the person or department named on the item is with this council.

What happens next?

CSO:

  1. Record item on the sheet
    Incoming Record Sheet
  2. Contact the staff member or department to pick it up. If you call and they don't answer, you must email them to advise the item is at Customer Service.

Note:

We only hold the item at the center till the next working day. Then it will be sent to Records via internal mail.
If the staff member is unable to pick up themselves, they can ask another staff member to pickup for them

The person presents to pick up on the day

CSO:

  • Hand over the item and update the entry on the sheet as collected, enter the name of the person who picked up the item

End-of-day process

The person advises they can't pick up until the next working day

CSO:

  • Update the incoming sheet (will pick up the next day)
  • Keep the sheet and item till the next day. 

End-of-day process

  • Keep incoming sheet until the next day (do not scan to CSSupport)

The next day when the person picks up the item or if they don't pick up

  • Update the sheet if they pickup or don't pickup the item and  scan CSSupport 
  • File the sheet in the daily cutoff envelope

If the person does not pick item at all

CSO:

  • Update the incoming sheet, sent to Records
  • Send the item to Records via mail bag for distribution to that person
    Note: If the item is too big for the bag, then call Records to pick up from Customer Service

End-of-day process

  • Scan incoming sheet to CSSupport and file it in the daily cutoff envelope

Parkmore Centre and Springvale Community Hub

CSO:

End of week process, on a Friday

  • Scan sheet on Friday or end of the working week to CSSupport
  • File in cut offs envelope with all the end-of-day work.

    Items for RMBL - located on Level 5

    RMBL is located on level 5, they are Council tenants. Advise the courier to take it up and ring their door buzzer. If they have newspapers delivered at our counter, call them on Phone: 9213 5700 to pick up.

    Esky’s with samples

    Contact the relevant department to pick up and record the incoming sheet.

    Vaccine deliveries

    The vaccines are not to be left at Counter, Contact Immunisation Enquires and send the courier up to level 4

    Sharp (syringe) container deliveries

    Delivery containing sharp syringe containers will be delivered to the Dandenong Customer Service Centre from Sharp Containment. 

    CSO:

    • Check the delivery docket, to see who ordered the boxes.
       

    Is the delivery for?

    Customer Service

    CSO:

    • Advise the delivery drivers to park in the Dandenong Civic basement carpark.
    • Then call Gus or Gavin to advise them of the delivery, they will meet the driver in the carpark

    Immunisation Team

    CSO:

    • Advise the driver to bring the box up to the Customer Service Centre foyer. Place near the counter.
    • Do not ask for the boxes to be brought into the secure customer service area.
    • Call Immunisation enquiries to arrange pickup from the front counter

      Council News Magazines

      If you receive delivery of Council News magazine, treat it as a delivery for Media and Communication.

      Contact them to come and collect from Customer Service. If you need to email, send to media@cgd.vic.gov.au
