As of Monday 20 Feb 2023, the process for leaving items at customer service counters (Dandenong, Parkmore and Springvale) has changed. This process will apply to all items left at customer service for collection by couriers and or other agents including staff, residents, etc.
Exception: Parking permits left by CS staff do not need to complete the form.
What do you do to leave an item for collection?
Complete the online form before bringing the item to Customer Service
Request a collection at customer service online form
The following details are on the form:
- Name of staff member who left the item
- Name of individual/Organisation or Courier who will pick it up the item.
- Pick-up date - They should confirm the date with the customer before completing the form.
What happens after the form is submitted
After the form is submitted, an email will be sent to the staff member advising them to print the form using the sharp printer and take it with the item to the customer service centre.
Important:
- CS will not accept the item without the printed form (for any issues contact Bev)
- Items will be held at customer service for a maximum of one week. If not collected they will be returned to sender.
- We are unable to complete a form on their behalf. The form is structured to capture the details of the individual currently logged into the PC. If you fill out the form, your information will be displayed on it. The procedure must be carried out by the individual themselves.
Staff member presents with the item and no form
CSO:
- Advise staff member of the new process which is on The Source click here to email link to the staff member
- We are unable to accept the item without the form
- We are unable to complete a form on their behalf. The form is structured to capture the details of the individual currently logged into the PC. If you fill out the form, your information will be displayed on it. The procedure must be carried out by the individual themselves.
What happens after you receive the item and the form
CSO:
- Leave the item in the pickup tray/cupboard
When the person presents to collect an item
CSO:
- Retrieve the item from the pickup tray and check the form for the name of the collector.
Hand over the item but retain the form. - Click to access the Request for Collection Admin site
- Open the relevant form and scroll to the bottom.
- Mark the item as collected.
- Keep the form for the end-of-day cut-off.
- If a different person is collecting the item
- You may hand over the item but must record the collector's name on the physical form.
- Update the name when finalising the online form in step 3.
Auditing the Online Request for Collection Admin site
Centre Supervisor task:
- Go to the Request for Collection Admin site
- Check the date Return to the Sender
- If the date is today, inform the staff member that the item was not collected and will be returned to the
- Place the item in the internal mail.
- Open the relevant form and scroll to the bottom
- Mark the item as "Returned to Sender
